What we collect

Limited technical information when you browse the site, and whatever you choose to tell us by email or in a WhatsApp conversation.

Why we use it

To answer you, to send the report or demo you asked for, to run and secure the site, and to discuss working together.

Your control

Asking for a report is not the same as agreeing to ongoing marketing. You can stop messages at any time, and you have rights over the information we hold.

That summary is here to help you find what you need. The policy below is the part that applies.

CAPTURE1 DIGITAL VIDEO PRODUCTIONS LIMITED (“Capture 1”, “we”, “us”, “our”) is a company registered in England and Wales under company number 04044371, with its registered office at 40 Massey Brook Lane, Lymm, WA13 0PN.

We take privacy seriously. The way we believe communication should work — people choosing to hear from a business, staying in control, and not being added to communications without a proper reason or permission — is the same way we believe personal information should be handled.

For the purposes of UK data protection law, including the UK GDPR and Data Protection Act 2018, CAPTURE1 DIGITAL VIDEO PRODUCTIONS LIMITED is the data controller for the personal information described in this policy.

1What this policy covers

This policy covers personal information we collect when you:

  • browse or interact with capture1.co.uk;
  • contact us by email or through WhatsApp;
  • request a report, demo, guide or other resource through one of our WhatsApp entry points;
  • use our own WhatsApp Insights or demonstration journeys; or
  • discuss or enquire about working with Capture 1.

It does not normally cover WhatsApp channels that Capture 1 builds or manages on behalf of a client, such as an event organiser, hotel, health club or other organisation. In those cases, the client will usually be the data controller and its own privacy policy will apply. Capture 1 acts as a service provider or data processor where agreed.

2The information we collect

When you visit our website

When you browse capture1.co.uk, we may collect a limited amount of technical and usage information, such as your IP address, browser type, device information, referring page and the pages you visit. This helps us operate and secure the website and understand how it is being used.

Where analytics or other non-essential cookies are used, they are managed through the site’s cookie-consent controls. See Cookies and analytics below.

When you contact us

If you email us or start a WhatsApp conversation, we collect the information you choose to give us. This may include your name, email address, phone number, company or organisation, and information about what you are trying to achieve.

We use this information to respond to you and, where relevant, to discuss our services, prepare a proposal or take steps towards working together.

When you use one of our WhatsApp journeys

Capture 1 uses WhatsApp for enquiries, demonstrations, Insights content and delivery of free reports and resources. When you choose to start one of these conversations, we may process:

  • your WhatsApp phone number and profile name, as shared through WhatsApp;
  • the messages you send and receive;
  • the choices you make within a journey, such as which report, sector or demo you request;
  • interaction information such as buttons or menu options selected; and
  • tags or custom fields used to remember what you asked for and keep the conversation relevant.

We do not buy, scrape or rent contact lists for these journeys. You enter them by choosing to message us, scanning a QR code or clicking a WhatsApp link or button.

3Reports, demos and ongoing WhatsApp updates

Requesting a report or demo allows us to send you the thing you asked for and any messages needed to complete that requested journey.

It does not automatically mean that you have agreed to receive unrelated or ongoing marketing messages from us.

Where we invite you to receive future WhatsApp updates, Insights or marketing communication, we will make that choice clear. If consent is the basis for those messages, you can withdraw it at any time.

You can tell us to stop through the conversation, reply STOP where that option is supported, block the WhatsApp number, or email enquiries@capture1.co.uk.

4How our WhatsApp journeys work

Our WhatsApp journeys may use a mixture of structured automation, AI-assisted responses and live human conversation.

We use ManyChat to help manage and automate our WhatsApp conversations. Some journeys may also use Capture 1’s own controlled AI Agent and approved knowledge sources to answer questions.

Where AI is used, it is there to help provide information and route conversations. We do not use our public website or demonstration WhatsApp journeys to make solely automated decisions about you that produce legal or similarly significant effects.

Where a question is better handled by a person, the conversation may be handed to a member of the Capture 1 team.

5How we use your information and our lawful bases

UK data protection law requires us to have a lawful basis for processing personal information. Depending on the situation, we rely on:

Consent — for example, where you actively choose to receive ongoing WhatsApp updates or other marketing that requires consent. You can withdraw consent at any time.

Legitimate interests — for example, operating and securing our website, responding to business enquiries, understanding how our website is used and promoting our services in a proportionate way where your rights do not override our interests.

Steps before entering into a contract, or a contract — for example, when you ask us to discuss a project, prepare a proposal or provide services.

Legal obligations — where we need to keep or disclose information to comply with the law.

6Cookies and analytics

Cookies are small files or similar technologies used by websites to remember information, provide functionality and understand how a site is used.

We may use essential cookies to operate and secure the website. We also use analytics tools, including Google Analytics where enabled, to understand things such as which pages are visited and how people arrive at the site.

Links to third-party websites do not mean that Capture 1 controls their privacy practices.

8Who we share information with

We do not sell your personal information.

We share information only where needed to operate our website, communications and business. Depending on the service you use, providers may include:

9International data transfers

Some service providers, including Meta, ManyChat and Google, may process information outside the United Kingdom, including in the United States.

Where personal information is transferred internationally, we rely on safeguards recognised under UK data protection law. These may include UK adequacy regulations, the UK Extension to the EU–US Data Privacy Framework, or approved contractual safeguards such as the UK International Data Transfer Agreement or UK Addendum to Standard Contractual Clauses, as applicable.

10How long we keep information

We keep personal information only for as long as we reasonably need it for the purpose for which it was collected, including legal, accounting and security requirements.

12Your rights

Depending on the circumstances, UK data protection law gives you rights including the right to:

  • ask for a copy of personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete information in certain circumstances;
  • ask us to restrict how information is used;
  • object to certain processing, including some direct marketing;
  • ask for information to be transferred where the right to data portability applies; and
  • withdraw consent at any time where we rely on consent.

These rights are not absolute. We may retain information where we have a legal, contractual, administrative or security reason to do so.

13How to make a complaint

We would always prefer you to contact us first so we have the opportunity to resolve a concern.

You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or by calling 0303 123 1113.

14Changes to this policy

We may update this policy when our website, services, technology or legal obligations change. When we do, we will change the ‘Last updated’ date at the top of this page.

If a change materially affects how we use personal information, we will take reasonable steps to make that change clear.
