Making event communication harder to miss with WhatsApp.
This business membership organisation already ran successful in-person events. The communication problem was more familiar: important emails could be missed, last-minute information was hard to surface, and reminders and follow-up created manual work.
Capture 1 added an opt-in WhatsApp Business Platform journey alongside the existing booking and membership process, giving attendees a more immediate route for reminders, arrival information and post-event follow-up.

The situation
Registration was working. The gap was what happened between booking and arrival.
Email remained an important channel, but it was not always the best place for information somebody needed to notice at a particular moment.

Nothing in this layer replaced the booking system or the email programme. WhatsApp was added at the points where immediacy and visibility mattered most.
What we built

The project did not try to replace the event booking system or the email programme. Instead, WhatsApp was used for the moments where immediacy and visibility mattered most.
Opt-in from existing touchpoints
Booking confirmations and social activity could invite attendees to receive WhatsApp updates, giving people a clear choice rather than assuming another marketing channel.
Scheduled pre-event communication
Reminder and arrival messages could be prepared in advance and delivered at the moments attendees were most likely to need them.
Post-event response
The same conversation could provide a simple route to feedback, social channels or future event information after the event.
Repeatable operation
Once the journey existed, the team had a reusable communication structure rather than rebuilding the reminder process manually for each event.
The moment it earns its place
Most event information is read at a convenient time. Arrival information is read on the way.

The same information had always been sent. This was the version somebody could still act on at 07:45 with a bag in one hand.
Why it worked
Use the channel for the moment, not for everything.
WhatsApp was not used because every event message belongs in WhatsApp. It was useful because certain pieces of information become more valuable when they are visible and timely.
What email kept doing
Booking confirmations, joining instructions, agendas, invoices and the longer detail an attendee wants to keep and refer back to later.
None of that needed moving, and none of it moved.
What WhatsApp added
The short, timed messages that only do their job if they are seen: the reminder, the arrival detail, the final nudge and the feedback request.
WhatsApp is an “and” channel. It sits alongside email, event apps, registration platforms and people rather than trying to replace them.
Results

More visible event updates
Attendees who opted in had an additional route for important reminders and arrival information.
Less manual reminder work
Messages could be scheduled and repeated through a consistent process.
A simpler feedback journey
The post-event request could arrive in the same conversation used around the event.
A reusable communications model
The organisation gained a structure that could support future events rather than a one-off campaign.
A stronger member experience
Attendees could receive timely information in a familiar channel they had chosen to use.
What this proves
The registration-to-attendance gap is a communication problem.
Booking an event is not the same as attending it. The period between those two actions contains reminders, decisions, practical questions and competing priorities.
A well-timed messaging layer can help organisers make that part of the journey more deliberate.
